When you open it day one, you see a master Projects database linked to a detailed Tasks database, with pre-built views that filter by deadline, owner, and blocker status. After one week of use, you’ll have automated weekly reports showing exactly which deliverables are at risk, which dependencies haven’t cleared, and which stakeholders need to act. Tracks up to 15 concurrent projects with unlimited tasks per project.

How to use it week by week

  1. Monday morning: Open the Weekly Planning view. Add any new tasks that came up in weekend emails or urgent requests. Assign owners for all unassigned items added in the past week.

  2. Tuesday standup: Each team member updates their task statuses and fills Blocker Details for anything marked Blocked. Take 30 seconds per person, not longer.

  3. Friday afternoon: Open the Stakeholder Report view. Copy the filtered task list for each project into your weekly stakeholder email. Include the rollup count from the Projects database and any items marked Critical for next week.

  4. End of month: Archive completed projects by changing status to Complete. This moves them out of active views but preserves the task history for retrospectives.

How do I handle tasks that span multiple projects?

Create the task in the primary project and add a text note in the secondary project’s description field. The Relation property only links to one project, but you can track cross-project dependencies in the Blocker Details field with specific project names.

What happens when team members don’t update their task statuses?

The Weekly Planning view shows a “Stale Tasks” section for items unchanged in 5+ days. Use this in your Tuesday standup to call out specific owners. Empty status updates break the stakeholder rollup numbers.

Can I track budget or time estimates per task?

Add a Number property called “Hours Estimated” to the Tasks database. It won’t affect the existing views or reports, but you can create a custom rollup in Projects to sum estimates per project. Keep it simple — most operations teams overengineer time tracking.
