After one week of use, you get a automated priority list every Monday morning showing exactly which 8-12 candidates need immediate attention, ranked by days since last contact and interview urgency.
Template structure
Candidates Database
- Candidate Name (Title): Jane Smith. The primary identifier that appears in all views and relations.
- Role Applied For (Select): Software Engineer / Marketing Manager / Sales Rep / Product Designer. Must match your active job openings exactly or the Role Overview breaks.
- Current Stage (Select): Applied / Phone Screen / Technical Interview / Final Interview / Reference Check / Offer Extended / Hired / Rejected. Update immediately after each interaction — the This Week’s Actions view filters on this.
- Interview Date (Date): 2026-06-18. Next scheduled interview or call. Leave empty only for Applied stage candidates.
- Days Since Contact (Formula): Auto-calculates from Last Contact Date. Flags candidates going cold after 5+ days.
- Last Contact Date (Date): 2026-06-15. When you last spoke or emailed them. Required for the priority ranking to work.
- Hiring Manager (Select): John Doe / Sarah Chen / Mike Rodriguez. The person who makes the final decision. Drives the feedback tracking system.
- Feedback Status (Select): Pending / Positive / Negative / Mixed. Change to Pending immediately after each interview, then update when hiring manager responds.
- Next Action (Text): “Send technical challenge” or “Schedule final round with CEO”. What you need to do next — appears in weekly action view.
- Phone Number (Phone): +1-555-0123. Required for phone screen stage candidates.
- Email (Email): jane@email.com. Required for all stages.
- Notes (Text): Interview feedback, concerns, salary expectations. Update after every interaction.
How to use it week by week

Monday morning: Open This Week’s Actions view. Call every candidate with Interview Date in the next 7 days to confirm times. Update Last Contact Date after each call.

After each interview: Immediately set Feedback Status to Pending and Last Contact Date to today. Add interview notes to Notes field within 2 hours while details are fresh.

Wednesday afternoon: Email hiring managers the Pending Feedback filtered view. Change Feedback Status when they respond and update Next Action field.

Friday end-of-day: Review Role Overview. Any role with 0 candidates in Applied or Phone Screen stages gets flagged for sourcing next week. Export Active Pipeline view for hiring manager weekly updates.

When extending offers: Change stage to Offer Extended, set Interview Date to offer deadline, add salary details to Notes. Track in This Week’s Actions until accepted or declined.

Frequently Asked Questions
Why does the Days Since Contact formula show negative numbers?
The formula subtracts Last Contact Date from today’s date. If you accidentally set Last Contact Date to a future date, it goes negative. Always use today’s date or earlier — the priority ranking breaks with future dates.
Can I add custom interview stages beyond the default options?
Yes, but add new stages in chronological order within the Current Stage select options. The Role Overview view groups by this field, so random ordering makes pipeline analysis impossible. Never delete existing stages if you have historical data.
How do I handle candidates applying for multiple roles?
Create separate candidate records for each role application. The Role Overview and pipeline analytics need clean one-to-one relationships. Use the same email and phone but different Candidate Name entries like “Jane Smith (SWE)” and “Jane Smith (PM)”.
