What this template does

This replaces the manual process of checking Slack, email, and separate project docs to answer “what’s due when and who owns it.” When you duplicate it, you see a master dashboard with sample projects showing overdue items flagged in red and upcoming deadlines sorted by urgency. After one week of logging tasks and updating statuses, the Client Status view auto-generates a report you send directly to each client showing their project’s deliverables and next actions. Tracks up to 15 concurrent projects with unlimited tasks per project.

How to use it week by week

  1. Monday morning: Open the Weekly Dashboard view. All tasks due in the next 7 days appear sorted by due date. Update Status for any deliverables you completed over the weekend.

  2. When you get a new project brief: Create a new Project record first, then add all initial tasks with the Project relation field pointing to that new project. Set Due Dates for the first sprint’s deliverables.

  3. Tuesday morning: Check the Blocked Tasks view. For any task blocked over 3 days, escalate to the client via email or schedule a call to unblock.

  4. Friday afternoon: Open each Client Status view (filtered by client). Copy the contents and paste into your weekly client email. This shows their project’s active tasks, upcoming deliverables, and anything waiting for their input.

  5. When a deadline shifts: Update the Due Date field immediately. The Days Overdue formula recalculates automatically and red flags anything newly overdue in the dashboard.

Frequently Asked Questions

Why does the Days Overdue formula show negative numbers?

Negative numbers mean the task isn’t overdue yet — it shows how many days until the deadline. Positive numbers (highlighted in red) show how many days overdue. Zero means due today.

Can I add custom fields for budget tracking or hours logged?

Yes, but add them to the Project Database, not Tasks. Create a Number field called “Budget Remaining” and Formula field “Budget Used %” to track spend per project. Task-level time tracking makes the dashboard too cluttered for daily use.

What happens if I have more than 15 active projects?

The template handles unlimited projects, but your Weekly Dashboard becomes overwhelming with more than 15 active projects. Use the Project Status field to mark inactive projects as “On hold” so they don’t appear in your daily views.
