When you open it, you see a master database with every active contract and case, plus filtered views for this week’s deadlines and overdue items. After one week of use, you get a complete audit trail of every client interaction and never miss another contract renewal or filing deadline. Tracks up to 50 active matters with full communication history.
Template structure
Contracts & Cases Database
• Matter Name (Title): “Smith Employment Agreement” or “Johnson v. ABC Corp” Enter the contract name or case caption exactly as it appears on court documents. This drives the sorting in the Client view.
• Matter Type (Select): Contract / Litigation / Corporate / Real Estate / Family Law / Criminal Set when you open the new matter. Determines which template fields auto-populate and which deadline reminders trigger.
• Client (Text): “Sarah Johnson” or “ABC Corporation” Use the exact name from your retainer agreement. Leave empty and the Client Dashboard view won’t group properly.
• Status (Select): Active / On Hold / Closed / Pending Signature Change to On Hold only when the client explicitly pauses work. Change to Closed when final invoice is paid, not when the case settles.
• Key Deadline (Date): Contract expiration, filing deadline, or trial date Always enter the court deadline, not your internal prep deadline. This field drives the Urgent This Week view that you check every Monday.
• Next Action (Text): “Draft motion for summary judgment” or “Send renewal notice to client” Update this after every client call or significant development. Leave empty and you’ll forget what you were working on.
• Billing Status (Select): Current / 30 Days / 60 Days / 90+ Days / Paid in Full Update when you send invoices, not when you do the work. This field populates the Collections view you review monthly.
• Last Contact (Date): Date of last email, call, or meeting with client Update every time you touch base with the client. Drives the Follow-up Needed view for clients you haven’t contacted in 14+ days.
• Notes (Text): Running log of developments, calls, and correspondence Add new entries at the top with the date. Don’t delete old entries — you’ll need them for billing records.
How to use it week by week

Every Monday morning: Open the Urgent This Week view to see all deadlines in the next 7 days. Update Next Action for any matter where the deadline is less than 3 days away.

After every client call: Open the specific matter record, update Last Contact to today’s date, and add 2-3 sentences to Notes summarizing what was discussed and what you committed to do.

When opening a new matter: Duplicate the template row, fill in Matter Name, Matter Type, Client, and Key Deadline. Set Status to Active and Billing Status to Current.

Every Friday afternoon: Review the Follow-up Needed view for any client you haven’t contacted in 14+ days. Send a brief status update to maintain client relationships.

Frequently Asked Questions
How do I handle matters with multiple deadlines like discovery cutoffs and trial dates?
Add additional Date properties called “Discovery Deadline” and “Trial Date” to track multiple deadlines per matter. The Key Deadline field should always contain the most immediate court-imposed deadline. Create separate filtered views for each deadline type if you manage complex litigation with many interim deadlines.
Can I track billable hours in this template?
This template focuses on matter management, not time tracking. Add a Number property called “Hours This Month” for basic hour logging, but use dedicated time tracking software like Toggl or your practice management system for detailed billing. The Notes field works well for recording what you worked on for billing description purposes.
What if I have multiple clients per matter like co-defendants or joint contracts?
Convert the Client field from Text to Multi-select and create options for each client name. This lets you tag multiple clients per matter and still use the Client Dashboard view to see all matters for a specific client. For complex multi-party litigation, consider using a separate Clients database with Relations to link multiple clients to each matter.
