What this template does
It replaces the manual process of tracking client contact history, renewal dates, and follow-up tasks across multiple tools. When you open it day one, you see an empty client database with pre-built views for Recent Contacts, Upcoming Renewals, and Overdue Follow-ups. After one week of use, the Priority Actions view shows exactly which 5 clients need attention this week, sorted by last contact date and policy value. The template handles up to 200 active client relationships with full contact and policy history.
Template structure
Client Database
- Client Name (Title): John Smith. The client’s full name. If empty, the record won’t appear in filtered views.
- Status (Select): Prospect / Active / Inactive / Churned. Change to Active only after they sign their first policy. Drives the Active Clients dashboard view.
- Last Contact Date (Date): 2026-05-15. Update immediately after every call, email, or meeting. The Overdue Follow-ups view filters clients with dates older than 90 days.
- Next Follow-up (Date): 2026-07-01. Set during every client interaction. The Priority Actions view sorts by this date to surface urgent contacts.
- Policy Value (Number): 125000. Annual premium or AUM value. Used in the High Value Clients view and determines priority ranking when follow-up dates are equal.
- Policy Type (Multi-select): Life / Disability / Health / Investment / Retirement. Select all applicable policies. Empty values hide clients from policy-specific renewal reports.
- Renewal Date (Date): 2026-12-31. Next policy renewal or review date. The Upcoming Renewals view shows all renewals within 60 days.
- Contact Notes (Rich Text): “Discussed term life increase. Needs quotes by month-end.” Update after every interaction. Empty notes make client handoffs impossible.
- Referral Source (Select): Website / Referral / Cold outreach / Event / LinkedIn. Track only for new prospects. Drives the Lead Source report.
Meeting Log
- Meeting Date (Date): 2026-06-10. The actual meeting date, not when you scheduled it.
- Client (Relation): Links to Client Database. Required field that connects meeting history to client records.
- Meeting Type (Select): Initial consultation / Policy review / Claims assistance / Follow-up / Renewal discussion.
- Action Items (Rich Text): Specific next steps agreed during the meeting. Empty action items lead to forgotten commitments.
How to use it week by week

Monday morning: Open the Priority Actions view. Contact the top 5 clients shown, starting with highest Policy Value. Update Last Contact Date immediately after each interaction.

After every client call: Create a new Meeting Log entry. Set the Client relation, update Contact Notes in the client record, and schedule Next Follow-up date based on discussion.

Friday afternoon: Check Upcoming Renewals view. Call any clients with renewals in the next 30 days. If they don’t answer, move their Next Follow-up to the following Monday.

First of each month: Review Overdue Follow-ups view. Any client showing over 90 days gets immediate outreach. Update their Status to Inactive if they haven’t responded to 3+ attempts.

Quarterly: Export High Value Clients view for compliance reporting. Verify all Policy Values are current and all Renewal Dates are accurate.

Frequently Asked Questions
Why does the Priority Actions view sometimes show clients with recent contact dates?
The view prioritizes by Next Follow-up date first, then Policy Value. If you promised a client you’d call back in 2 weeks, they’ll appear in Priority Actions even if you spoke yesterday. This prevents broken commitments, not just tracks contact frequency.
How do I handle clients with multiple policies that renew on different dates?
Use the Policy Type multi-select to tag all applicable policies, but set Renewal Date to whichever policy renews first. Create a separate Meeting Log entry for each renewal discussion. This keeps the main Priority Actions view clean while preserving detailed history.
Can I track prospects and existing clients in the same database?
Yes, use the Status field to separate them. Set prospects to “Prospect” status and they’ll appear in the Lead Pipeline view. Once they sign, change Status to “Active” and set their first Policy Value. The dashboard views automatically filter by status to show relevant actions.
