How to use it week by week

  1. Every Monday at 8 AM: Open the Daily Dashboard, update the Date field to today, and review the “This Week” filtered view. Add any new projects or tasks from weekend emails before your executive arrives.

  2. Each morning before your executive’s first meeting: Update all “Waiting on exec” tasks based on decisions made yesterday. Set Priority Level to Critical for anything that affects today’s meetings or tomorrow’s calendar.

  3. After each meeting where action items are assigned: Create new tasks with specific Due Dates and assign to the correct Project. Set Owner to yourself unless your executive must personally complete the work.

  4. Every Friday at 3 PM: Export the “Executive Summary” view and send it as next week’s priority briefing. Mark completed tasks as “Complete” and update Next Deadline for any projects that hit milestones.

  5. When someone requests executive time: Check the Health Status in Project Tracker first. Never schedule decision meetings for Red projects without clearing blockers.

How do I handle recurring tasks like weekly reports?

Create one task with the project name “Recurring Operations” and update the Due Date each week instead of creating new tasks. The Status should reset to “Not started” every Monday morning when you update the Date field in the Daily Dashboard.

What if my executive works on projects I don’t have visibility into?

Use Executive Involvement = “Informed only” and leave the Task details minimal. Focus on tracking only the deadlines or meetings that affect their calendar or require your support. The Health Status formula will still flag timing issues.

Can I track multiple executives with this template?

The database structure supports multiple executives, but the filtered views assume one person. Duplicate the entire template for each executive you support, or add an “Executive” select field and modify the view filters to separate their items.
