Your customer just hit their renewal window and you’re scrambling through Slack messages to remember their last three pain points. This template tracks every customer milestone, risk signal, and success metric in a single 90-day account plan that auto-generates renewal readiness reports. Not for Customer Success teams that only manage 5-10 accounts — this is built for CSMs juggling 25+ accounts with monthly QBRs.

What this template does

Replaces the manual process of tracking customer health across spreadsheets, CRM notes, and email threads. When you open it day one, you see a master account database with health scores, renewal dates, and risk flags for every customer. After one week of logging interactions, the automated views surface your 5 highest-risk accounts and generate a weekly executive summary you send directly to leadership. Tracks up to 50 active accounts with 12 predefined success milestones per customer.

How to use it week by week

  1. Sunday night: Open the Renewal Pipeline view and review all accounts with renewals in the next 90 days. Update Health Scores based on the week’s interactions and milestone progress.

  2. Monday morning: Log any customer interactions from the previous week in the Interaction Log. Set Follow-up Required checkbox for any promises you made. Check the Overdue Milestones view and send reminder emails.

  3. Wednesday: Update milestone Status for any customer deliverables completed. Change Account Stage to Churn Risk for any customer that missed scheduled calls or hasn’t engaged with the platform in 14+ days.

  4. Friday afternoon: Export the Executive Summary view and send to your manager. This auto-populates customer health distribution, at-risk MRR total, and overdue milestone count. Use the High Risk Accounts view to plan next week’s priority outreach.

  5. Month-end: Complete QBR entries in the Interaction Log for all scheduled quarterly reviews. Update Renewal Date field for any customers whose contracts were extended or modified during QBR discussions.

Frequently Asked Questions

Why does the Health Score view break when I don’t fill in MRR values?

The automated Risk Assessment calculation multiplies Health Score by MRR to prioritise which red accounts deserve immediate attention. Without MRR data, a small customer and enterprise client show equal priority. Enter even estimated MRR values to make the prioritisation work.

How do I track accounts that don’t follow the standard 5-milestone framework?

Add custom milestone entries in the Success Milestones database for accounts with unique onboarding needs. The Account relation field links them properly, and they’ll appear in the same Overdue Milestones view. Don’t modify the milestone Select options — just create additional milestone records.

Can I use this template for accounts managed by multiple CSMs?

Add a CSM Owner field to the Account Health Dashboard and filter all views by your name. The Interaction Log already supports multiple team members logging touches to the same account. Share the template with your team but create personal filtered views for your account portfolio.
