What this template does

It replaces the manual process of checking multiple apps to prep for client calls. When you open it, you see a master client list with next session dates and current goal status. After one week of use, the Sessions view shows exactly which clients haven’t scheduled follow-ups and which action items are blocking their progress. Tracks up to 20 active coaching clients across all your programs.

How to use it week by week

  1. Every Sunday evening: Open the “This Week’s Sessions” filtered view. For each upcoming session, review the client’s Primary Goal and last session’s Action Items. Add any prep notes to the Key Focus field.

  2. Within 2 hours of each session: Fill in the Action Items field with specific commitments and deadlines. Set the Progress Rating based on movement toward their Primary Goal, not just completion of tasks.

  3. Every Friday afternoon: Check the “Clients Without Next Session” filtered view. These are active clients who finished their last session but haven’t scheduled a follow-up. Send scheduling links immediately.

  4. Monthly on the 1st: Filter Sessions by “Last 30 Days” and group by Progress Rating. Clients with multiple “Stuck” or “Moving Backward” ratings need goal adjustment or program changes.

Frequently Asked Questions

How do I handle clients who reschedule sessions frequently?

Update the Session Date field immediately when they reschedule. The Next Session formula will recalculate automatically, keeping them out of the “Clients Without Next Session” view. If a client reschedules more than twice in a row, add a note in the Key Focus field to address scheduling commitment in your next call.

Can I track payment status for each client in this template?

Add a “Payment Status” Select field to the Clients database with options: Current / Overdue / Payment Plan / Comp. This template focuses on session management rather than billing, so consider linking to your invoicing system rather than managing payment details here.

What if a client has multiple goals they’re working on simultaneously?

Use the Key Focus field in each session to specify which aspect of their Primary Goal you’re addressing. For clients with completely separate goals, create separate Client records (like “Sarah Johnson - Business” and “Sarah Johnson - Personal”) and link them to different sessions.
